Email & Notification Management

Configure booking notification emails for guests and administrators.


Notification email recipients

Go to SCO Hotel PMS Settings

  • Booking Notification Emails: Enter emails that will receive notifications for new bookings, modifications, or cancellations. Separate with commas.

Automatic email types

  • New Booking: Sent to guest and admin for new bookings
  • Booking Modified: Sent when a booking is modified
  • Booking Cancelled: Sent when a booking is cancelled
  • Booking Received - Payment Required: Sent to guest for bookings pending payment (includes payment link)

Test email

Click the test email button to verify SMTP configuration is working correctly.

  • Send Test Email: Send a test email to verify configuration

Customize email templates

Email templates can be customized via Settings > Email Templates in Perfex CRM. Supported dynamic variables:

  • {guest_name}: Guest name
  • {booking_id}: Booking ID
  • {checkin_date}: Check-in date
  • {checkout_date}: Check-out date
  • {room_type}: Room type
  • {total_amount}: Total amount
  • {hotel_name}: Hotel name
  • {payment_link}: Payment link (for pending payment bookings)

Booking Engine email settings

Booking Engine automatically sends emails to guests and admin for online bookings.

  • Booking Confirmation: Send confirmation email to guest
  • New Booking from Booking Engine: Sent to guest and admin for new bookings
  • Booking Received - Payment Required: Sent to guest for bookings pending payment (includes payment link)

Resend confirmation email

In online booking details, click the send confirmation button to resend to guest.
